The Financial Solutions COO Office is responsible for a wide variety of strategic, operational, and data-driven initiatives that help Sales and Service teams make better decisions and operate more effectively. We work across Financial Solutions, Product, Data, and other partner teams to translate business priorities into action, support cross-functional execution, and help leaders stay aligned on the company’s key initiatives.
We are looking for a highly organized, proactive, and trusted Executive Administrative Assistant to join our New York office, supporting the Head of the Financial Solutions COO Office, based in London, as well as members of the COO team in New York. This role is ideal for someone who excels at core executive support while also enjoying the opportunity to help coordinate projects, maintain visibility into team priorities, and ensure decisions and follow-ups are clearly documented and tracked.
As the Executive Administrative Assistant , combine core executive support with junior-level project coordination. You will develop strong working relationships with both internal and external stakeholders, exercise sound judgment in a variety of situations, and demonstrate strong written and verbal communication skills. You will play an important role in helping the team stay organized, prepared, and focused in a fast-paced environment. You will work with cross-functional teams on strategic initiatives while building project coordination and delivery experience.
We’ll trust you to:
  • Manage a broad range of administrative responsibilities, including coordinating complex meetings across multiple calendars, ensuring critical participants are included and proactively resolving or escalating scheduling conflicts to keep initiatives moving forward. when needed
  • Coordinate logistics for leadership meetings, team sessions, events, and on-site activities across London and New York, including collaboration with office operations and business partners
  • Be forward-thinking by anticipating leaders’ needs and helping the team stay prepared for upcoming meetings, deadlines, and priorities
  • Help track progress on strategic projects and priorities, supporting follow-through across workstreams and stakeholders where needed
  • Support cross-functional planning by helping prepare briefing materials, synthesize updates, and keep senior stakeholders informed and aligned
  • Work with team members to gather updates and keep project trackers and documentation current.
  • Support weekly project portfolio reviews by preparing clear status information and identifying items requiring attention or follow-up.
  • Identify opportunities to improve efficiency and implement process enhancements proactively
  • Interface professionally with all levels of employees, clients, and external guests
  • Exercise discretion and maintain confidentiality at all times
  • Prioritize competing demands and handle matters expeditiously, ensuring follow-through and successful completion of projects, often under tight deadlines

You’ll need to have:
  • Excellent written and verbal communication skills in English
  • Strong problem-solving abilities with a proactive approach to keeping things on track
  • Exceptional attention to detail and organizational skills
  • Comfort working in a fast-paced, “open door” office environment
  • Ability to manage multiple workstreams and follow-ups, synthesize information quickly, and communicate clearly for senior audiences
  • Working knowledge of Excel and comfort using spreadsheets to organize and track information
  • Ability to learn new tools, processes and business areas quickly

We’d love to see:
  • 5+ years of experience across administrative support, business operations, project coordination, or related roles
  • Prior experience supporting Sales or commercial leadership
  • Experience supporting strategic planning processes, business reviews, leadership meetings, or cross-functional initiatives
  • Demonstrated ability to track deliverables, coordinate follow-through, and manage action items across multiple stakeholders
  • Experience within financial services, media, or a global corporate environment
