Site Coordinator (NYC, NY - onsite)

The Learn team at Giant Machines, is looking for a passionate Site Coordinator to manage facilities and support with parent communication and events an after-school and weekend coding & computer science program embedded at a partner organization. You’d be joining a small but growing organization with established relationships at Google, the NYC Department of Education, Break Through Tech, and Sponsors for Educational Opportunity, as well as several of New York City’s most student-centered schools.

This role provides operational support in the lab, working closely with the Community Manager and coaches to maintain the lab, order supplies and catering, coordinate events, manage data collection, and carry out other tasks that ensure quality programming and lab site maintenance.

  • Manage lab facilities and ensure all equipment is functioning and accurately tracked
  • Event and Logistics management
  • Provides support on all systems and processes for student and participant tracking
  • Key areas include but are not limited to:
    • Lab Coordination
    • Lab Equipment & Supply Management
    • Event Coordination
    • Student Data entry and management
    • Support Student & Volunteer recruitment

Site Coordinators ensure the physical lab spaces are a safe and welcoming environment for students. Site Coordinators work closely with the Community Manager and Instructors to maintain the lab operational support, order supplies and catering, coordinate events, manage data collection, and other tasks that will ensure quality programming and site maintenance. Site Coordinators must be able to work weekends (Saturdays) and evenings.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Site Coordination

  • Maintaining the calendars for program and event dates/times
  • Scheduling programs, site visits and tours
  • Prepare documentation for student attendance, registration, and waivers
  • Host student advisory sessions
  • Food Ordering. e.g., meals during program and events and snack deliveries
  • Coordinate with Real Estate & Workplace Services (REWS), Network Operations (NetOps), Technical Support (TechStop), and Audio Visual (AV) teams for various setup, delivery and construction tasks
  • Lab cleanup/organization & arranging for facilities
  • Transport materials to lab if necessary

Lab Management

  • Lab maintenance; Ensure all lab equipment is functioning & accurately tracked
  • Inventory management. e.g., supplies, equipment and swag
  • Document all student information into reporting tools
  • Work with the onsite building manager or landlord to coordinate shipments, deliveries, storage, parking, etc.

Event Coordination

    • Help/assist with all student, parent and community focused events
    • Help plan and set-up events (e.g. maintain RSVP’s, volunteer recruitment, etc.)
    • Assist with all event documentation, including budgets, contracts, negotiations and notes/memos on other important interactions
    • Work on-site to ensure the seamless execution of every event
    • Work with team to develop event checklists
    • Assist with creating external collateral for events (flyers, handouts, invites, emails)
    • Manage collection of waivers from parents/students
    • Set up any tech, equipment required

QUALIFICATIONS

  • Must live in NYC or commutable areas, and work in office everyday
  • Bachelor’s degree
  • Strong communication and organizational skills
  • Passion for event-planning, coordination, and operational support
  • Familiarity with technical equipment and setup
  • Interest in computer science education programs, makerspaces, and working with a diverse demographic of HS students and parents
