As a Senior Executive Assistant in Employee Platforms - Workplace Technology, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.
Job responsibilities
- Efficiently manage and coordinate active calendars for senior executive, ensuring optimal scheduling and prioritization of meetings and appointments
- Effectively manage internal related activities such as meetings and communications with a high degree of professionalism, accuracy and confidentiality
- Exhibit effective communication by clearly articulating ideas in conversations and crafting concise, well-structured emails that convey information accurately and professionally.
- Arrange and manage intricate domestic and international travels, ensuring seamless logistics and adherence to company policies
- Process invoices and expense claims, ensuring compliance to the firm’s guidelines.
- Organize and coordinate internal and external events, including meetings, conferences, and team-building activities.
- Foster strong relationships with key partners, including other administrative assistants, to create a collaborative and supportive work environment
- Handle regular activities without prompting, and advise in advance with issues or delays
- Produce high quality emails and messages to individuals at all levels of the organization
- Leverage Microsoft teams and/or other tools to manage documents for reading, sharing and storing
Required qualifications, capabilities and skills
- At least five years of administrative experience
- Advanced ability to organize
- Discretion and good judgment in confidential situations, and proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Strong proficiency in Microsoft Office
- Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
Preferred qualifications, capabilities and skills
- Experience supporting at the Managing Director level (or equivalent) or above
- College degree is a plus
- Prepare high-quality reports, presentations, and internal communications, utilizing advanced Microsoft Office skills (PowerPoint, Excel)
- Assist with various projects and initiatives, contributing to the Workplace Technology organization's operational efficiency and strategic goals
Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
