🚀 Onboarding at Nava: The Role
The Onboarding team sits on the front lines of our mission, helping clients go live with confidence and clarity while setting them up for long-term success. It’s where we build trust, deliver early wins, and lay the operational foundation for everything that follows. Our team works across tools, teams, and systems to bring each client online with speed and precision.
As an Onboarding Specialist, you’ll lead each client through this journey: managing timelines, collecting and validating data, configuring systems, and coordinating with teams across Nava to ensure a smooth, high-quality launch. This is a hands-on, client-facing role for someone who thrives in structured environments, sweats the details, and earns trust through clarity, consistency, and thoughtful execution.
You’ll also bridge the gap between inputs and outcomes, explaining each request in context and showing how it fuels the workflows and automations that power Nava’s platform

🚀 Responsibilities
Onboarding Execution
Drive the client onboarding process from kickoff to go-live—ensuring timelines stay tight, deliverables are clear, and clients feel momentum from day one.
- Lead internal coordination across Sales, Client Management, Audit, and Ben Admin teams.
- Build and manage onboarding plans in Notion (or similar tools), tracking progress and owners.
- Host “go-live” sessions to walk clients through Nava’s platform and next steps.
- Proactively identify and resolve blockers to keep the process on track.
Data + Systems Ownership
Build the operational foundation that powers everything—ensuring data and system readiness from Day 1.
- Collect, validate, and organize key client data.
- Maintain accurate onboarding records and documentation across tools.
- Monitor for data gaps or access issues; troubleshoot independently and escalate when needed.
- Recommend process or tooling improvements that tighten execution and reduce manual work.
Client Communication
Deliver a high-touch, high-trust experience through clarity, transparency, and strong project leadership.
- Communicate the “why” behind every request—clearly, calmly, and credibly.
- Host kickoff calls that align expectations, explain timelines, and reinforce value.
- Provide regular status updates, surface risks early, and guide clients through decision points.
- Build confidence by anticipating needs and navigating challenges with composure.
🚀 What you’ll bring
We're seeking an accomplished professional with a proven track record as a onboarding specialist and a passion for innovation and collaboration. Specifically:
- 1–3 years of experience in an operational, onboarding, or implementation-focused role
- Excellent organizational skills and attention to detail
- Strong communication skills — written, verbal, and interpersonal
- Comfortable working in client-facing settings with a focus on clarity, responsiveness, and professionalism
- Ability to learn new systems quickly and adapt to evolving processes
- A bias toward action and a commitment to high-quality execution
Nice to Haves
- Data Fluency – Experience working with sensitive or structured data—ideally in operational, healthcare, financial, or education environments.
- Domain Familiarity – Exposure to benefits, payroll, or HR systems like ADP, Rippling, Workday, or Employee Navigator.
- High-Stakes Coordination – Background in roles where precision and follow-through matter—whether in client operations, DTC fulfillment, school systems, or nonprofit logistics.
- Systems Thinking – A knack for turning complexity into clarity—building guides, templates, or checklists that make processes repeatable and human-friendly.
Tooling Proficiency
- Must-use tools: Salesforce, Google Workspace, Excel/Sheets.
- Bonus familiarity: Retool, CRMs, lightweight scripting platforms (e.g., Lovable, Replit, Bolt).
