About the role
As the Manager of Outside Counsel Management, you will play a pivotal role in overseeing end-to-end outside counsel processes, as well as our systems and cost-saving programs. You will be closely involved in negotiating outside counsel engagements, redlining engagement letters, and managing those relationships. Responsibilities will also include managing new matter creation, coordinating with and onboarding of new firms, addressing internal and external invoice inquiries, conducting related spend analysis and reporting, helping to build and manage our global preferred provider program and processes, and thinking strategically about process improvements and simplification. You will be an active member and contributor to Zillow’s Legal & Compliance Operations and Strategy team with significant growth opportunities.
Responsibilities:
Manage standard outside counsel engagements, including strategic planning, negotiations, redlining engagement letters, and managing templates
Assist with large global engagements
Lead the identification, evaluation and implementation of outside counsel cost-savings and process efficiency initiatives
Define and measure outside counsel performance metrics to evaluate timeliness and quality of service, policies and procedures
Build strong partnerships with Accounting, Finance, Accounts Payable, etc. to effectively communicate and align to financial and accounting policy and procedure changes
Create and manage matter budgets, including related enforcement, in partnership with internal counsel
Create and manage Zillow’s outside counsel preferred provider program
Manage RFPs and optimal vendor selection processes
Manage outside counsel equity and belonging survey and data collection process
Manage third-party technology relationships and communicate product enhancements to Legal & Compliance leadership
Manage and enforce outside counsel guidelines and oversee related education, implementation and enforcement
Review engagement letters to confirm rates and discounts are reflected accurately in spend reports
Lead routine outside counsel financial audits
Improve internal accounting processes, including accruals, in partnership with internal Accounting teams
Manage internal attestations/audit processes as it relates to outside counsel and/or eBilling technologies in partnership with Compliance teams
Respond to ad-hoc requests
Who you are
We are looking for experienced candidates who have held similar or relevant positions within corporate legal departments or in law firm management. Legal operations is a rapidly developing space, and you should be curious and eager to learn and explore new concepts and tools.
Skills and Qualifications:
At least 8 years of experience in outside counsel management, legal eBilling or related operations function (pricing, financial analytics, matter management, etc.) in a corporate legal department or law firm equivalent
At least 5 years of experience working directly with eBilling systems (e.g. Brightflag, Legal Tracker, SimpleLegal, etc.)
Outstanding project or program management skills, including the ability to set and meet deadlines and keep clear, organized records, lead initiatives from ideation to completion
Familiarity with implementing and operating other common legal technology solutions (including one or more of Smartsheet, iManage, and Icertis) a plus
Experience with advanced data functions (pivots, vlooks, formulas, etc.)
Comfort with synthesizing large data sets, sourced from differing systems
Exceptional communication skills, both written and verbal
Strong creative problem-solving skills
Ability to work with individuals at all levels in the organization and build positive relationships with business partners
Effective decision-making skills, including the ability to choose a course of action in situations involving substantial uncertainty and risk
BA or BS degree or other comparable education and work experience.
