We are looking for a Responsible Broker for Hawaii! The Responsible Broker will be partnering with the existing team to ensure the successful administration of brokerage operations in Hawaii. This position will assist in all operational elements vital to follow the individual license law, REALTOR® association membership and Board participation, compliance training, and continuing education. This person will have an outstanding track record as a supervising real estate broker of a single broker or small to medium firm, and an understanding of real estate regulations at a state level.
Key Responsibilities:
- Accountable for transaction paperwork and information accuracy and storage
- Perform contract review to ensure legal and contractual compliance of transactions (as needed)
- Advise licensees of any changes to state licensing requirements, bylaws or regulations
- Accountable for any broker to broker, Board, state-level complaints – first point of contact and final responder
- Provide final signoff on any audits of closed transactions to ensure required documents have been transmitted/uploaded to DotLoop
- Open/maintain trust accounts as needed
- Provide heightened supervision for all licensees with less than two years’ experience
- Assist the ongoing improvement of and compliance with company-wide and individual provincial brokerage operations manuals
- Operate using your experience leading a brokerage with multiple, active licensees to provide broker oversight as needed
- When tasked, assist with ensuring proficient redundant licenses are always in place to provide business continuity
- Accountable position for compliant MLS & Association subscribers within your state(s)
- Accountable position for compliant licensure and renewals within your state(s)
- Partner with Licensing to ensure smooth transition of all brokerage level licenses as needed
- Perform required transaction file review for assigned states and ensure compliance with your team and licensed employees (as needed)
- Bring up and assist with customer care complaints, provide complaint resolution assistance, and thoughtfully handle raised issues
- Understand state and MLS regulations and be able to connect with outside business units on their impact
- Assist in providing heightened oversight to newer licensees
- Recommend areas for licensee/firm improvement
- Be willing to and attend in person/virtual appropriate MLS, Association and State Commission meetings (as advised)
- Serve on local and state boards and advocate on behalf of Zillow Group and our mission when vital
- Maintain active MLS and association memberships to ensure continuity of data and access across your required states
- Maintain active state real estate license(s) and keep current on all required continuing education requirements for your respective state(s)
- Respond within one business day to requests from licensing, MLS, Brokerage Operations, IR and all partners both internal and external
- At the direction of Brokerage Operations, perform quarterly MLS and state-level roster audits to ensure our licensee list is accurate with both MLS and state rosters
- Assist, when vital, new salespersons with MLS and association applications and memberships in your designated region
- Traveling or out of office for more than 5 business days, a produce a delegation letter assigning a broker/agent to act on your behalf while out must be submitted
- Provide MLS rules and regulations updates (when available)
- Regularly update MLS expense tracking dashboard with MLS/Assoc dues info
- Submit any event attendance requests through a central repository
Who you are
- Minimum of 7 years managing broker experience
- Hold and maintain an active real estate broker license in the state of Hawaii with up to date continuing education credits in real estate, management, and legal compliance
- Be willing to acquire additional broker-level licenses on behalf of Zillow. Inc.
- Be an active member and participant in designated local and/or state Boards and associations
- Do not actively represent buyers or sellers in transactions, collect commissions or referral fees
- Do not moonlight in other real estate related activities that require your same license
- Do not moonlight in other real estate related affiliated businesses
- Be an active member (or able to become an active member) of the National Association of REALTORS (NAR)
- Willing and able to travel within the state as needed
